Job Description

QLS has a fixed term full time 12-month contract opportunity for an Administration Assistant to join their Trust Account Investigation team. The Trust Account Investigations team sits within the Regulation division of the Queensland Law Society. It supports the Society to meet its obligations under the Legal Profession Act 2007 by overseeing trust account compliance, including investigations and review of examination reports.

The Administration Assistant supports the Manager and Trust Account Investigations team through accurate data management, coordination of reports, and preparation of correspondence. The role also manages workflows, systems, and enquiries to ensure efficient operations and strong compliance with regulatory requirements.

In this role you will:

  • Maintain accurate records and manage data, reports and correspondence for the TAI team.
  • Coordinate investigations, reviews and enquiries with law practices, ensuring timely follow up.
  • Support team operations by managing calendars, meetings, email workflows and document filing systems.
  • Prepare and process documentation, including reports, letters and regulatory applications.
  • Provide guidance to administrative staff and document processes to support consistent team practices.

Ideally you will have the following:

  • Strong administrative skills with the ability to manage data, reports and correspondence accurately.
  • Experience coordinating workflows, enquiries and stakeholder interactions in a busy environment.
  • Proficiency in managing systems, document control and electronic filing processes.
  • High attention to detail with the ability to prepare clear, accurate documentation.
  • Ability to support team effectiveness through organisation, communication and mentoring of others.
