Job Description

QLS has a permanent full-time opportunity for a Legal Secretary to join our Office of General Counsel team. The team provides independent legal advice to the CEO, President, Council, committees, and Society officers.
 

The Secretary supports the General Counsel and OGC team by delivering high-quality legal and administrative support, managing records, registers, reporting and team coordination.

 

In this role you will:

  • Provide secretarial and administrative support to the Office of General Counsel (OGC), including diary management and invoice processing.
  • Maintain and improve the records management system to meet statutory requirements.
  • Oversee various registers, including those for safe custody, legal forms, trademarks and corporate policies, ensuring timely updates and renewals.
  • Prepare legal documentation such as court briefs, maintain the OGC operations manual, and report on billable hours.
  • Update intranet and website content relevant to OGC activities and publish notices in official channels like the Queensland Government Gazette.

 

Ideally you will have the following:

  • Experience supporting multiple solicitors in a professional services environment.
  • Strong customer service, planning and organisational skills.
  • Ability to quickly learn new information and adapt to change.
  • Proficiency in using technology to improve processes and workflows.
  • Understanding of confidentiality in legal work, and advanced administration and records management skills.
